Business Support Lead

Overview:

DoubleDigit Sales (DDS) is looking for a capable, confident, end-user focused individual who can
provide business support to the DDS team, including basic IT support and daily management of
the office. This candidate is curious, action-oriented, detailed and a strong communicator. The
successful candidate has the ability to think on their feet, connect dots quickly, ask “why not” and
“what if”, and translate information to the appropriate stakeholders while working in a fast-paced,
high performance environment.

The position is connected to the Toronto office but is currently 100% virtual.

Primary Functions:

Business Support:
• Development and sustainment of office efficiency tools using Excel, such as the evaluation
summary database, DDS catalogue, leader’s guide generator, pricing tool, and future tools as
required
• From a technical perspective, support the delivery of live virtual sessions which includes
preparing virtual rooms, conducting walk-throughs with a DDS Facilitator and then supporting
the technical aspects of live deliveries alongside a DDS facilitator
• Provides back-end support for the platforms used in Marketing: HubSpot, WordPress, and
Dynamics CRM
• Ensure that HubSpot stays connected to CRM and WordPress
• Basic Website updates using WordPress, such as updating bios and pictures, monitor the
website to ensure it loads smoothly, and collaborate on visual changes to the website, such as
adding new pages and updating photos with an eye to being user friendly and functional
• Pull custom reports and contact lists from Dynamics CRM as required
• Provide support and guidance with video content, as well as graphics support and image
editing from time to time

Technology Support:
• Support the DDS team on their day-to-day technology issues
• Manage vendor relationships to create partnerships to aid in ensuring that the IT infrastructure
is running efficiently and effectively, including responding to support requests, escalating to
vendors as necessary and monitoring & following-up to ensure timely response
• Assist VP Finance & Operation in testing and rolling out new IT initiatives, including training
manuals/videos
• Work with DDS team to provide IT solutions to support business initiatives, involving VP
Finance & Operations as required
• Maintain hardware and general IT inventory, ensuring timely replacement or upgrades of
hardware as required, arranging for secure disposal of old equipment, and setting up new hires
or new desktops/laptops as required
• General IT support, including managing the FTP site, managing email and email distribution
lists, managing the alarm and door system, managing the phone server, Wi-Fi access points,
VPN, etc.

Office Management:
• Manage vendor relationships and work with the admin team to create partnerships to aid in
ensuring that office administration is running efficiently and effectively
• Monitor daily office maintenance and ensure any issues are resolved in a timely manner
• Manage all office supplies (groceries, office, washroom, cleaning, etc.) to maintain inventory
while working with accounting to monitor and analyze spend to ensure value for money
• Manage administrative relationships
• Responsible for coordinating new hire setup

Essential Qualifications:

• Proven experience in Business Support, preferably in a fast-paced, professional services firm
• Experience with system installation, configuration, and analysis
• Strong knowledge of networks and cloud computing
• College or University degree
• Advanced written and verbal communication skills
• Familiarity with Office 365 and SharePoint
